Nearly every plant and office has one. Clear acrylic, a lock, screwed to the wall next to the time clock. And in a lot of them, six months of contents fit in one hand.
For plants operating in Mexico there is a compliance angle too. NOM-035 requires workplaces to have safe, confidential ways to receive complaints, so the box is no longer an HR decoration. Having one on the wall and getting people to use it are still two separate jobs.
Where it hangs says more than the label
A box outside the supervisor office, or under the camera at the entrance, sends a message nobody had to write down: you will be seen here.
It works better on a route everyone walks, where stopping for a few seconds draws no attention, like the hallway to the cafeteria or the locker area.
Clear acrylic has a catch
Clear looks clean and proves the box actually gets emptied. It also shows the handwriting on the top slip. In a department where everyone knows everyone, that is enough to keep anything sensitive out of it.
The fix is simple: a colored or frosted front, or a clear body with a narrow slot that forces people to fold the page. You can still see there are slips inside, and nobody can read one.
Paper and pen have to be right there
It sounds minor, and it is where a lot of feedback dies. If someone has to go find paper, the thought cools off on the way. A form holder attached to the box, with a short form and a tethered pen, turns the impulse into a written slip in the same minute.
What brings people back to it
Two things: who holds the key, and what happens next. If the key belongs to the person people want to complain about, the box is dead before it goes up. Have two people open it together, or a committee, and make sure everyone knows that.
Then answer in the open. A board next to the box showing what came in and what was done, even one line per topic, is what brings the second slip. Once people see a piece of paper change something, they write the next one.
Does NOM-035 require a suggestion box?
It requires safe, confidential mechanisms for receiving complaints and reporting workplace violence. It does not say the mechanism has to be a box, but a well placed box with controlled key access is one of the simplest ways to have one everyone can see.
